FAQ Coordinated IT Operations
Frequently asked questions about the programme Coordinated IT Operations at KI.
1. Who ordered the project Coordinated IT Operations?
University Director Per Bengtsson is the formal purchaser of the Coordinated IT Operations programme. The departments are the recipients, as they receive the delivery of the project.
2. When will the project be completed?
The project has been delivered to several departments at Campus Flemingsberg as well as all departments in Biomedicum. Also, employees located in Bioclinicum have access to KI's network. Altogether, eleven departments are part of Coordinated IT Operations (as of October 2018) and the work will several more will be initiated during the fall.
3. How is the technical equipment needed for the project being financed?
The pilot projects were financed through the Information Technology Office’s budget. The IT office will cover the costs of the technical investments and sell services to the departments. The services currently included in the IT bill will continue to be included in the bill.
4. Is the IT Office equipped for a project of this size?
The IT Office is investing in the technical platform and infrastructure, recruiting new staff and training existing staff in order to meet the new demands. The project is also collaborating closely with the departments and their local IT managers in order to ensure that the services offered by the IT Office meet the departments’ needs. To manage work within the County Council's premises and supply of KI-services via the County Council's physical network, there are collaboration forums at different levels.
5. How will the departmental IT managers be affected by the project?
There will still be a need for local support. One of the project's intentions is that these employees should be able to focus more on departmental IT issues rather than working with basic infrastructure network and server operations. IT managers in Flemingsberg have been transferred to the IT Office and have their principal place of work in Flemingsberg. There is a similar set up for the IT managers working at the departments in Biomedicum.
6. In which order will the departments be transferred?
As of now, eleven departments are part of Coordinated IT Operations. After the large moves to Biomedicum, NEO, the Laboratorium of the Future and Bioclinicum, there is no particular order, but the IT Office is working in consultation with the Head of Department and Head of Administration at the interested departments.
7. Will the IT Office take over all IT at the departments?
This is uncertain. The IT Office will initially offer primarily basic infrastructural services for things like server and storage management. Computers used for laboratory work, calculations and so forth will probably not be taken over by the office. The IT Office will however provide spaces, called co-location, where the departments themselves take care of their servers which are not added to the central virtual environment. If deemed necessary, other services such as backup management, can also be offered. Each departmental head and administrative manager has to decide, in consultation with the IT Office, the services to be delivered to their particular department. The initial responsibility of the office is to provide basic services, such as network, service operation, storage, and so on.
It has been decided that the IT Office will take on full responsibility for networks and all investments in network hardware.
8. Other IT projects are underway at the departments. How do they relate to Coordinated IT Operations?
Most of these projects, such as the work being done with UBW, purchasing systems and Ladok3, are taking place completely outside of the project. The role of the IT Office is not to run these projects, but to play a technical part in them. Other projects, including testing different solutions for file-sharing within research groups, standard workplaces and so on, are run by the IT Office, but not explicitly within the Coordinated IT Operations project. When these solutions are packaged as services, they can form part of the sub-projects’ deliveries. The IT Office is also in dialogue with the Dean for infrastructure to catch up on needs that includes IT solutions.
Sometimes a special IT solution is proposed for evaluation, and this is being done initially in pilot form either in the departments at which Coordinated IT Operations is already implemented or at another department.
