Manual for Erasmus+ Learning Agreement for Traineeships
Here you will find instructions for course coordinators or programme directors on how to review and sign an Erasmus+ Learning Agreement for Traineeships when a student is doing an Erasmus traineeship.
The Learning Agreement (LA) has three parts:
- Before the Mobility (pages 1–2)
- During the Mobility (page 3)
- After the Mobility (pages 3–4)
Before the mobility
Pages 1–2. The student completes the Learning Agreement after discussing the traineeship with you (course coordinator or programme director). Your task is to check the information and then sign the document.
The student fills in:
- Personal details
- Level of study (EQF levels 5–8):
- Bachelor / first cycle (EQF level 6)
- Master / second cycle (EQF level 7)
- Doctorate / third cycle (EQF level 8)
- Field of education (ISCED 2013 code – use the ISCED‑F 2013 search tool)
- Traineeship period (exact start and end dates)
Explanations are provided in the footnotes on the last page of the Learning Agreement.
Course coordinator or programme director
As course coordinator or programme director, you are responsible for checking that the information in the Learning Agreement is correct as described below, before you sign.
Table A – Traineeship Programme at the Receiving Organisation
- Check that the information is relevant for the course/programme (Traineeship title, Knowledge, skills and competences, Monitoring plan, Evaluation plan).
- Ask the student to revise the text if anything is unclear or incorrect.
- Ensure that the “Planned period” corresponds to the actual traineeship period (not the travel period). The Erasmus+ grant is based on the traineeship period.
Table B – Sending Institution
An Erasmus traineeship can be carried out in different ways:
- Embedded in the curriculum: traineeship within a course – course coordinator signs.
- Voluntary: traineeship during the summer (outside term time) – programme director signs.
- Recent graduate: traineeship after graduation – programme director signs.
Insurance
All outgoing students are covered by the Student UT insurance through Kammarkollegiet.
The insurance covers:
- Direct travel between Sweden and the host country at the start and end of the period.
- 24‑hour coverage in the host country during studies/traineeship.
- Two weeks before and two weeks after the studies/traineeship, if the student remains in the host country.
The insurance applies only in the host country, not during travel outside the mobility country.
TABLE C – Receiving institution
- Completed by the receiving university, organisation or company.
- KI’s insurance is usually sufficient, but the student should show the insurance terms to their supervisor abroad.
Signing
The Learning Agreement is valid only when it has been signed by:
- the student,
- the course coordinator/programme director at KI, and
- the supervisor at the receiving university, organisation or company.
- Traineeship within a course: course coordinator signs.
- Summer traineeship or traineeship after graduation: programme director signs.
During the mobility
Page 3. Completed only if there are changes compared to the original arrangement.
- All changes must be approved by both the course coordinator/programme director at KI and the receiving university, organisation or company.
- The traineeship must still cover at least 60 continuous days for the student to retain the Erasmus+ grant.
After the mobility
Pages 3-4. Completed by the student and the receiving university, organisation or company.
What is an Erasmus traineeship?
Erasmus+ is the EU’s programme supporting international exchange in education, traineeships and skills development. The programme gives students the opportunity to complete a traineeship (Erasmus traineeship) abroad for at least 60 consecutive days at a company, an organisation or a higher education institution in an Erasmus+ country. Students who meet the requirements may apply for an Erasmus grant, which is a financial contribution covering travel and living costs according to fixed rates. To receive the grant, an approved Learning Agreement is required.
