How to order photography services
When making a call-off (request for quotation) for photography services under KI’s framework agreement you use a special allocation key. This means that you, as the client, choose the photographer who best meets the needs of the assignment based on one or more of the following (non-ranked) criteria:
- Experience and creative ability: Consider how the photographer’s experience and skill in similar assignments, such as portraits, environmental shots, conferences, short photo sessions during visits to KI, ceremonies, and so on, may influence your choice.
- Delivery time: The photographer can deliver by a specified deadline.
- Price: Based on the photographer’s price list and the estimated time required to complete the assignment. (Hourly rates and prices for any additional services are fixed and stated in each photographer’s agreement; see link to contract catalogue below.)
When making a call-off, make sure to describe the assignment as thoroughly as possible. Specify when the photography should take place, for example a specific day, time and location. Allow a reasonable timeframe for photographers to respond to the request.
Once you have received a tender and have chosen a photographer, you must inform all bidders of your decision, explaining your choice based on the above criteria. You do not have to, but can, invite all photographers listed below to each individual call-off.

KI is subject to the Swedish law governing accessibility to digital public services, which entails that users who are not able to comprehend audio or images shall have the opportunity to take part of the content through an alternative representation, such as through captions and audio descriptions.

Checklist for ordering photos
Questions to consider before you contact the photographer:
- What is the budget?
- What is the estimated duration of the photographer's time?
- What context will the photography be taken in?
- What will the images be used for?
- Who will be viewing the images?
- Who should be able to use the images (image usage rights)?
- When must the images be delivered by?
