Migration of videos to Canvas Studio – what happens now?
The migration of videos from Kaltura (My Media/Media Gallery in Canvas) to Canvas Studio has now begun.
From 22 April, videos will gradually be copied to your personal Studio library.
We ask you to go into Canvas Studio and check that your videos have been migrated correctly.
In this guide you will find:
- where to find your videos that have been copied from My Media in Canvas to Canvas Studio
- how to match your videos in Studio with the orginal video in My Media (e.g. using Entry ID)
- how to see which course collections your video is connected to using the Entry ID
- what applies to captions and metadata
- what to do if something is missing
Video overview
Carina Bois provides an overview (video 8:19 min) of what you can expect to see in Studio, how to compare videos in My Media via your Canvas course, and how to search using Entry ID.
What you can expect to see in Canvas Studio
When your videos have been migrated, you will find them in:
- a collection named
migrated videos [your username]
(e.g. migrated videos carina.bois)
For each migrated video, the following applies:
- The video is a copy of the original in Kaltura
- The Entry ID from Kaltura is retained and visible under Details in Studio
- The metadata (title, description, etc.) has been copied with your video from Kaltura. Additionally the Entry-ID has been added to the metadata and description in Studio.
- The video is connected to the correct Canvas course where you have used the Kaltura video. You can see this when you search for the Entry-ID.
- The video will be displayed in Canvas via Studio in the course menu (for teachers and course administrators). Note you will also see videos that you have manually published in you Canvas courses, not just the migrated videos.
Visibility of course connection in Canvas Studio
Remember that your videos in Canvas Studio are not copied to your Canvas course collections, they are merely displayed in pages but the video is always found in your Studio Library. For migrated videos, you will need to search your library using the Entry-ID.
- As a user (video owner), you can only see which course the migrated video belongs to if you search your Studio Library with the Entry-ID.
- You can also go directly to your Canvas course menu and click on the course menu Studio. Now you will see all videos that are connected to the course. This will include both migrated videos as well as videos you may have manually uploaded previously or subsequently.
When the next step of the migration is completed (automatic replacement of Kaltura links with Studio links), the videos will be embedded in Canvas pages as Studio content.
Important to check
We ask you to review your migrated videos as they begin to appear in your Studio collection.
In particular, check:
- that you recognise your videos
- that the number of videos is approximately correct
- that the videos can be played
- that captions are displayed correctly (if available)
- that your videos are connected to your Canvas courses (difficult to check all videos but do check a few).
How to check a specific video (using Entry ID)
If you want to verify that a specific video has been migrated correctly, you can use the Entry ID:
Step 1 – Find the Entry ID in Canvas Studio
- Open the video in Canvas Studio
- Click Details
- Note the Entry ID (the unique identifier consisting of letters and numbers shown under the video title and your username)
Note: You may not immediately recognise the video in Studio because the thumbnail image may differ from the one shown in My Media (Kaltura).
However, the video title remains the same, which helps you identify the correct video.
You can change the thumbnail later in Studio if needed.
Step 2 – Search for the video in My Media (Kaltura)
- Go to My Media in your Canvas course
- Paste the Entry ID into the search field
- Verify that it is the same video as in Studio (note that you may not have the same thumbnail for videos in Studio as the videos in Kaltura
This allows you to compare the original video in Kaltura with the copy in Studio.
Captions
- The default captions (default language) have been copied to Canvas Studio
- If your video has captions in multiple languages, you will need to:
download the additional languages from Kaltura My Media in Canvas and upload them to Studio if needed
For some videos:
- Captions in WEBVTT format can be displayed and downloaded in Studio
- However, they cannot be edited using Studio’s standard editing tools
Ownership and special cases
- Videos are assigned to the user who is listed as the owner in Kaltura
- In some cases, videos may be assigned to users who are no longer active (e.g. former employees)
- Videos without an identifiable owner are placed in a dedicated administrative collection - contact our support with your questions
What do you need to do now?
Go to Canvas Studio and open your collection “migrated videos [your name]”
Review your videos and check that everything looks correct
If something is missing or appears incorrect:
- note the video name or Entry ID
- contact support via Contact us about the learning platform and digital tools explaining your problem.
What happens next?
The migration will take place in stages. Once all videos have been copied, the next step of the project will begin:
- Automatic replacement of links to videos from Kaltura My Media to Canvas Studio in course content.
- Remember that Canvas Studio does not support the same student view previously available in Canvas Media Gallery.
More information about this will be communicated separately.
