Contract Support at MedH
The contract support service provides support and guidance in the contract process and acts as a contact point for department management, central functions at KI and external parties.
As a researcher, you are welcome to contact MedH’s contract support if you have questions about the contract process, e.g. what type of contract is needed, who should sign a contract or who to contact about different matters. Contract support provides support and advice throughout the process.
Support in the contract process
KI has a checklist outlining what needs to be in place before a contract is reviewed by KI's Legal unit. The contract support at MedH can help you with several of the steps in the list.
There is also a video that explains the contract process in four steps.
The conditions and framework for collaboration between companies and Karolinska Institutet are described in the brochure “Collaborating with Karolinska Institutet – a medical university”.
It is advisable to contact the contract support if you are planning to:
- Start a research collaboration with companies, hospitals or other higher education institutions
- Carry out commissioned research
- Draft a non-disclosure agreement (NDA)
- Exchange data or biological material
- Receive funding from an external party
- Participate in a consortium
What the support can look like
This is an example of how the contract support at MedH can help you during the contract process.
1. Endorsement
Together, we ensure that the project is endorsed by the head of department or the head of administration and that KI is to be a contracting party.
2. Research plan and supporting documents
You prepare the research plan. Together, we identify what type of contract is needed, which supporting documents are required and which parts of GVS (KI:s Professional Services) should be contacted. This can be done in parallel. The supporting documents may include:
- Budget
- Participants
- IP and rights of use
- GDPR
- Ethics review
- Biobank
- Clinical endorsement
- Insurance assessment
3. Legal review
Once the documentation is complete, the contract is submitted for legal review.
4. Signing
The contract support provides guidance on approvals, signing and researcher declarations of consent.
5. Archiving
The contract support coordinates registration and archiving.
