How often is the information in KI RIMS updated?
KI RIMS regularly retrieves information from several source systems and publishes it on ki.se. Here you can find information about how often different data is updated and how soon changes you make in KI RIMS become visible on KI’s website.

How often is information retrieved from other KI systems to KI RIMS?
As a rule, information is automatically retrieved from source systems within KI, such as IDAC, Primula and the Bibliometric System, to KI RIMS once every weekday evening/night. The exception is information about groups, which is manually imported into KI RIMS from a file received from Primula every Thursday.
If you are completely new to KI, your account in KI RIMS will be created early in the morning one or two days after your employment/affiliation has started, which in this case means the day your KI ID becomes valid in IDAC. As soon as your account is created in KI RIMS it will be populated with other merits available in the KI systems from which KI RIMS retrieves information.
If you have applied in IDAC for a authorisation role as a content manager or statistician in KI RIMS, it will automatically be transferred to KI RIMS on the morning after the authorisation role becomes active in IDAC (which is not always the same day it is approved).
How long does it take for new or updated information in KI RIMS to be updated on ki.se?
Your profile page is updated every twenty minutes. The exception is publications that have been added, updated or removed. Information about these changes is only updated once a day, overnight.
A person who is new to KI will have a profile page twenty minutes after receiving an account in KI RIMS. The account is created in KI RIMS early in the morning one or two days after the start of employment (the date from which the KI ID becomes valid according to IDAC). On the same morning, other KI-related information is also imported from the source systems. This means that a brand-new profile page will already contain information such as the person's name, title, contact details and group affiliation.
Information from KI RIMS is updated on published group pages on ki.se every two hours.
For a completely new group, several manual steps must be completed before the group page is available on ki.se:
- The group is usually imported into KI RIMS by the KI RIMS team on the Thursday after it has been created in Primula.
- Once the group leader (or another person with Content manager permissions for the group) has given the group a name in KI RIMS, it can take up to two hours before the group appears in the Drupal web publishing system. When the group is available in Drupal, the group name can appear in grey text under the heading “Part of:” on members’ profile pages, and the web editor can begin working on the group page.
- As soon as the web editor publishes the group page in Drupal, it becomes visible on ki.se. On members’ profile pages, the group name under the heading “Part of:” (which was previously grey and not clickable) will then link to the new group page.
Every night.
It usually takes about one week, but in some cases it can take up to two weeks for the information to be indexed by the search engine.
