Conditions regarding employment and payment of funds within the framework of KI’s strategic recruitments for junior researchers, 2025

Candidates who, following the assessment process, are offered employment and funding under KI’s 2025 Strategic Recruitment for Junior Researchers are expected to take part of the terms and conditions for employment and funding outlined below.

Employment as Assistant Professor 

The program includes full-time employment and funding for a position as Assistant Professor, typically for a duration of six years, subject to the exceptions listed below.

A person may be employed as an Assistant Professor for a minimum of four and a maximum of six years, as determined by the university prior to the start of employment (in accordance with Chapter 4, Section 12a of the Higher Education Ordinance). Applicants who are already employed as Assistant Professors at KI may only be offered a new position within the framework of this call if they have held their current position for less than two years. The total period of employment as Assistant Professor may not exceed six years.

If a person is awarded a position through this call already holds an Assistant Professor appointment at KI, the duration of the existing employment will be deducted when establishing the new employment contract. The allocated funding will be adjusted accordingly.

Decisions regarding employment and salary are made by the recruiting department, and the employment must continue throughout the entire funding period.

Funding for employment 

A person may only hold and receive funding for one (for your own) position financed by faculty funds. If funding is offered in two separate calls, the individual must choose one.

The starting date for the appointment shall be no later than twelve months after the funding decision, and the funding may be utilized for up to one additional year after the end of the payment period. Consequently, the total availability of funds is seven years for an Assistant Professor. Exceptions may be granted for special reasons.

The funding for employment includes a fixed amount for each position, which is stated in the advertisement. The position will be financed jointly by the Faculty Board and the recruiting department. The Faculty Board provides SEK 1 million per year for a maximum of six years, totaling SEK 6 million, with the recruiting department providing the remaining funds as indicated in the advertisement.

The funds are intended for full-time employment and may be used to cover salary and other research-related expenses.

If all funds are not utilized during the grant period, the remaining amount may be used for one year beyond the current grant period. This is conditional upon the department approving an extension of employment at KI due to special circumstances in accordance with Chapter 4, Section 12a of the Higher Education Ordinance, or if the individual holds another position where research remains the primary responsibility. The employing department is responsible for ensuring that the funds are used in accordance with these regulations, including after the initial grant period.

If an individual receiving funds through this Assistant Professor call assumes a new position at KI during the current grant period, the remaining funds may continue to be used provided that research remains the main task of the new employment.

For people with clinical employment 

A person who has received funding for employment as Assistant Professor and who is also employed for clinical service at a unit within Region Stockholm (Swedish: upplåten enhet, USV-enhet) must hold an appointment at one of KI’s departments for at least 50 percent of their time and dedicate at least 50 percent to research for the funding to be granted.

Exceptions

Decisions on any exceptions to the disbursement of funds in accordance with these conditions are made by the Academic Vice President for Research. 

Reconsideration

Decisions regarding allocation of funds can in certain situations be reconsidered. 

KI can decide that funds (completely or partly) no longer should be distributed if

  • The applicant has been found guilty of scientific misconduct or other deviations from good research practice
  • The funding is not used for the intended purpose
  • The applicant has presented incorrect or deceptive information with regards to the application.

Information to the employing department

The employing department, where a person has been awarded a position, should be aware of the information in this document in order to ensure that employment as an Assistant Professor and payment of funds are followed. The employing department is responsible for informing the HR -specialist in charge of the GVS HR department of any changes to the scope of employment of a person who has been allocated funds for employment. 

Unused funds allocated by the Faculty Board shall be returned to the Faculty Board, the agency currently in charge of the program after the end of the allocation period.
