Events in the lunch- or meeting rooms in ANA Futura
The lunch room is the "heart" of ANA Futura where the staff eat lunch, have breakfast meetings and other mingle/"fika" activities and afterwork. The rooms on floor 9 is our main area for meetings.
Defense- and graduations parties
According to the decision of the ANA Futura Steering Committee, defense and graduation parties that include external participants may not be organized in ANA Futura's lunchroom or in the meeting rooms on floor 9. These parties may be organized privately outside of ANA Futura.
Internal activities during working hours
Internal activities (birthday-fika, colleagues leaving/retiring etc) that take place during working hours may be booked in the food court outside lunchtime, i.e. between 08.00-11.00 and 14.00-18.00.
- Book the lunchroom or the meeting room in the Outlook calendar.
- If the lunchroom is booked, put up signs in the morning on the same day that the room is booked. Contact the service team who have floor signs and a template of what should be on the signs.
- After the activity, the lunchroom or meeting room must be cleaned according to the instructions available in the lunchroom and/or on level 9. If these rules are not followed, the responsible group will be charged for the cleaning cost that will occur.
Internal mingling and activities outside regular working hours
Internal mingles and activities (pubs/afterwork, internal staff parties, farewell-fika) that take place outside regular working hours may only be organized for internal ANA Futura staff. KI staff outside ANA Futura may be invited, but not external people outside KI.
- Contact the ANA Futura facility manager to ensure that the activity is approved to be organised in the lunchroom or in the meeting room and specify a responsible manager who also attends the event.
- Book the lunchroom or the meeting room in the Outlook calendar.
- Inform the ANA Futura service team that the activity is to be organized outside regular working hours.
- The service team informs the cleaning company that activity will take place outside regular working hours and if extra cleaning is needed. Extra cleaning is paid for by the responsible department/group/unit.
- Inform the security company that activity will take place outside regular working hours. State the following:
- The timing of the activity.
- Name and telephone number of person in charge on site.
- If the lunchroom is booked, put up signs in the morning on the same day that the room is booked. Contact the service team who have floor signs and a template of what should be on the signs.
- The activity must end no later than 10.00PM (cleaning can then begin).
- After the activity, the furniture in the lunchroom or meeting room must be restored and the premises cleaned according to the instructions available. If these rules are not followed, the responsible group will be charged for the cleaning cost that is added.
