For Employees with a Combined Appointment

A combined appointment means that you are employed by two different employers. For the part of your appointment that relates to Karolinska Institutet (KI), KI’s rules and guidelines apply. For questions regarding the clinical part of your appointment, please refer to the relevant healthcare provider. The information on this page relates to your employment at KI.

Salary

As an employee with a combined appointment, your monthly salary consists of remuneration from both employers.

The salary level is determined in accordance with the applicable rules and procedures of each employer.

In all other respects, the same principles and regulations regarding salary setting apply to employees with joint appointments as to other employees at both KI and the relevant healthcare provider.

Pension

KI pays the full employer contribution for occupational pension into the Swedish Pensions Agency for Government Employees (SPV) for employees holding a combined appointment. The contribution is based on your combined income from both employers, including any compensation for on-call duty and standby service.

The collaboration between KI and the healthcare provider concerned, regarding pension arrangements for employees with combined appointments is governed by a formal agreement

The pension terms and conditions for employees with combined appointments are regulated in accordance with the government sector occupational pension agreement.

Vacation and Leave of Absence

As an employee holding a combined appointment, you are covered by the annual leave benefits provided under the collective agreements of each employer. Since different collective agreements may grant different numbers of vacation days, your leave entitlements may vary between your appointments. At KI employees with combined appointments are covered by a standard vacation, which means that it is assumed that all vacation days are taken out during the year. You are also entitled to leave of absence in certain circumstances, while other types of leave may be granted subject to operational needs. Leave may be granted with or without salary deductions. Please note that leave taken with salary deductions is not qualifying for annual leave accrual.

In the Event of Sick Leave

If you become ill, you must report your sickness to both employers on your first day of absence, in accordance with the applicable procedures of each employer.

When you are on sick leave, a qualifying deduction (karensavdrag) is made from your sick pay. Thereafter, both employers pay sick pay in proportion to the extent of your employment with each organization.

Sick leave is coordinated between KI and the relevant healthcare provider from day 15 of the sickness period, when sickness benefit is paid by the Swedish Social Insurance Agency (Försäkringskassan).

Sick leave administration is coordinated between the relevant healthcare provider and KI through monthly reconciliations carried out by the respective payroll administration units.

Childcare Leave (Temporary Parental Benefit) and Parental Leave

Both employers have the right to require you to report temporary parental leave to care for a sick child (VAB) from the first day of absence, in accordance with their respective procedures.

Both employers pay either a supplementary temporary parental benefit or parental pay, depending on the reason for the absence, in proportion to your rate of employment. The Swedish Social Insurance Agency (Försäkringskassan) pays temporary parental benefit or parental benefit only up to a specified income ceiling. Karolinska Institutet and the relevant healthcare provider coordinate salary payments to ensure that you do not lose any supplementary compensation for income above this ceiling.

Other Leave of Absence

Applications for other types of leave of absence for employees holding a joint appointment must be handled in consultation between the employee’s respective managers at KI and the healthcare provider.

Occupational Safety and Health

Responsibility for the work environment is often shared in the case of a combined appointment. In most situations, the primary responsibility rests with the employer who has control over the work environment in question, such as the work tasks, premises, equipment, and technology involved.

Amendments to combined Appointments

When changes occur that affect a combined appointment and require a new employment contract, an amendment agreement must be prepared in accordance with a specific process.

In such cases, the employee should contact the HR function at their department and the relevant healthcare provider.

Termination of a Combined Appointment

A combined appointment is terminated in connection with any of the following:

  • Retirement
  • Resignation by the employee
  • Dismissal due to redundancy
  • Dismissal due to personal reasons
  • Summary dismissal

Upon termination, the relevant payroll administrators at both the healthcare provider and KI must be contacted.

In the event of termination of employment or summary dismissal by either employer (KI or the relevant caregiver), the other employer must be informed
