Here you find information about important news and updates regarding how REDCap is handled at KI.

2026-07-16 Mandatory module when creating new projects

From 16th July 2026 users have to complete a mandatory module every time they want to create a new project or copy an existing project. This short module gives important information about how REDCap should be used and asks the user to confirm that they are adhering to KI’s guidelines when handling research data in REDCap.


2025-08-25 Deletion of inactive projects 

REDCap's main purpose is data collection, and it is not recommended to use REDCap for long-term storage of data. We therefore urge you to export your data and delete the REDCap project once a study is finalized.

The REDCap administration will initiate a process where old/inactive REDCap projects will be removed from the server. When a project has been inactive for > 2 years, the project status will be changed to Completed. This means that the project will still exist on the REDCap server but will no longer be accessible. If you notice your project is no longer accessible and you wish to regain access to it, please contact redcap@ki.se so that we can open it up for you again. If we don't hear anything from you, the project will be removed from REDCap entirely after an additional 6 months.

We will update you with the date of when this process will begin. In the meantime, please go through your REDCap projects and make sure you have downloaded copies and exported data for all your projects. If your studies are finalized and the REDCap projects are no longer active/needed, please delete them from the server.

2024-02-19 Inactive REDCap accounts will be suspended

In case your REDCap account has been inactive for more than 2 years, your account will be suspended. To keep your REDCap user account active, you need to log into your account at least once every two years. If your account gets suspended but you wish to reactivate it, you need to contact your REDCap administrator (redcap@ki.se) who can unsuspend your account.

Otherwise, all suspended accounts will be deleted after another 6 months. After this, you need to create a new account to continue to access REDCap.


2023-11-20 Two-step-verification via Authenticator now mandatory

From 20th November 2023, KI removed the option of receiving a verification code via email to log into REDCap. Instead, two-step-verification via Authenticator is now mandatory. For more information about how to set up Authenticator, visit our page “Access to REDCap” on the staff portal.
