Population Registration Data
Information about Population Registration Data for Primula
Starting April 1, the payroll and personnel system Primula started retrieving population registration data from the Tax Agency for employees at Karolinska Institutet (KI). This service from the Tax Agency aims to ensure that employees' names and addresses are always correct and up to date.
How it works:
- All employees' data was collected from the Tax Agency during an initial upload on April 1. After that, daily retrieval occurs, but it only includes new information, meaning that the population registration data in Primula is only updated when changes occur at the Tax Agency.
- Population registration data is retrieved upon hiring and updated in the daily retrieval if any changes occur at the Tax Agency.
Important points:
- Email address and display name in IDAC remain unchanged. If you want to change your display name in IDAC, contact your local IDAC administrator.
- The display name in IDAC controls the display name in Microsoft 365.
- Your name on KI.se is sourced from Primula. If you want to change your name on your profile page on KI.se, you must change this in KI RIMS. This is done by entering a "Preferred name" on the account settings page in KI RIMS. Information about Dynamics:
- In Dynamics, the Power Platform retrieves information about "First" and "Last name" from Entra (AD).
- If you want to change your display name in Dynamics, you need to submit a request to Selfservice, and the responsible parties for Dynamics will change this manually.
Preferred Name:
If you have more than one first name registered with the Tax Agency, and none of these names is marked as a preferred name, all names will be retrieved to Primula. To display only one first name in Primula, the preferred name must be marked with the Tax Agency.
Middle Name as Last Name:
If you have a middle name as a last name, the middle name will disappear in Primula after retrieval from the Tax Agency. There are different ways to either remove the middle name or change it to a last name:
- A person with a middle name can apply to the Tax Agency for it to be removed, meaning the person will only carry their last name.
- It is possible to apply for the middle name to be acquired as a simple last name, which means the previous middle name becomes the person’s last name.
- The middle name can also be acquired as part of a double last name. The applicant specifies the order in which the names should be carried and whether there should be a hyphen between the name parts. After the change, the person carries a double last name consisting of the previous middle name and a simple last name.
