Project management support for Horizon Europe projects coordinated by KI

Karolinska Institutet is offering project management support aimed at strengthening its participation in EU-funded research. The goal is to increase the share of research funding from the EU Horizon Europe programme, as well as the number of projects coordinated by KI, in line with KI’s Strategy 2030.

As part of this initiative, the Grants Office is now offering project management support for collaborative research projects within Horizon Europe, where KI acts as the coordinating institution. This support is available for a limited number of proposals through a competitive application process and includes specialized support provided by an assigned project manager. The project management support will be tailored according to the project’s needs, from the application phase until the project end. 

Information about the support

The general support is offered to all proposals and projects coordinated by KI and includes:

Application phase support (free of cost):

  • Call text analysis
  • Advice related to consortium building
  • Advice on proposal development and content (excluding writing)
  • Feedback on work packages
  • Advice on specific questions such as ethics, gender aspects, open access, IP, impact
  • Budget advice (in collaboration with the department)
  • Meetings on demand with PI and other involved researchers from KI
  • Grant and consortium agreement preparation advice and collection of legal signatures from KI

Post-contract management support (financed by the project):

  • Financial management
  • KI internal start-up meeting
  • Coordination of legal management
  • Communication with partners regarding financial management
  • Communication with the EU project officer

*Note: Contact the Grants Office in advance in order to receive the basic support to a maximum extend. 

The project management support offered by GO includes tailored support, and the proposals will be assessed on an individual basis through a competitive application process, and the final decision will be taken by the deans. This support may include some of the items listed below, in addition to the general support.

Application phase support (free of cost):

  • Hands-on budget preparation (in collaboration with department and PI)
  • Facilitate smooth application process in terms of timelines, organizing meetings, and communication with the consortium
  • Collecting data for submission through the EU Funding & Tenders Portal
  • Assisting partners with information relevant to the EU Funding & Tenders Portal
  • Adding data for submission into the EU Funding & Tenders Portal
  • Quality check for submission
  • Submission of proposal

Grant preparation support (free of cost):

  • Coordination of grant preparation
  • Participation in the meetings with European Commission Program Officer (PO)
  • Coordination of consortium agreement preparation

Post-contract management support (financed by the project):

  • Organization of kick-off meeting
  • Organization of consortium meetings and other online meetings with partners
  • Organization of the steering committee meetings
  • Organization of internal communication
  • Organization and compilation of the input from WP leaders during the entire project
  • Organization and updating internal bulletins
  • Templates development & distribution
  • Coordination of deliverables
  • Management of legal documents
  • Overseeing and managing activities in the EU Funding & Tenders Portal
  • Collection of information for progress reports
  • Development, implementation, and overall tracking of all management procedures
  • Risk Management

Note: Those types of projects, often complex in their structure and with many different actors involved, require efficient management to allow a successful outcome. Therefore, we strongly advice to always include the costs for a project manager in the coordinator’s budget. Note that project managers should be employed by KI as only limited tasks within project management can be delegated to partners within the consortium. The project management support offered by GO is optional, but it retains expertise in EU project management. The support provided during application and grant preparation phases is free of charge. The time commitment for financial management is approximately 10-15% of an FTE (always handled by GO and budgeted on the project) and 40-60% for project management. 

Steps to apply for project management support

1. Read the general information about Horizon Europe Pillar II collaborative research funding. Pillar II – General information | Staff Portal 

2. Gather information about upcoming calls and Work Programmes. You can find information related to seminars in the GO newsletter. 

3. Download and complete the application documents and send them directly to grantsoffice@ki.se. Always make sure to download the latest template version from the webpage. The access to the documents is only available for KI-staff logged in with the KI-ID.

  • Application form, including a one-page summary of your proposal and a checklist to indicate the desired support.
  • Project assurance form signed by the KI researcher coordinating the project, the Head of Department, and the Head of Administration of the host department. 

4. The application process to Grants Office opens approximately 6 months before the EU submission deadline. Check for upcoming deadlines below.

5. Applicants will be notified by email regarding the outcome of the internal selection for the project management support as soon as the process is finalized (approximately 3 weeks after the deadline). 

Upcoming deadlines for the Horizon Europe Pillar II and application for project management support

Proposals with deadline  in the EU Funding & Tender Portal in the spring 2026 can apply for project management support between Monday the 24th of November 2025 to Tuesday 6th of January, 2026 at 12:00 PM.
