About IDAC

IDAC means Identity and Access System and was developed specifically for Karolinska Institutet. The system manages identities and authorisation assignments across the entire organisation.

The electronic identity is called KI ID, which is directly linked to you as a person. Through this, authorisations can be assigned to you, which may be likened to keys for accessing information in KI's various software and systems.

What information should be available with your particular 'key' can be based on, for example, role and organisational affiliation, or resources to which you have been assigned access. 

How IDAC works

IDAC manages the user types of employees, affiliates, doctoral students, and students. Information is not stored in IDAC but is retrieved from different source systems. This means that information about, for example, position, the basis for affiliation or address is not changed in IDAC but directly in the source system: Primula for employees, Ladok for students and doctoral students, and UBW Anknutna for affiliates.

For you as an employee

As a KI employee, whether you are employed or affiliated, you have access to a page where you can see what information is in the system and where you can apply for authorisations.

You can also change your visiting address in IDAC if the address is registered to an organisational unit in Primula.

Which authorisations are managed in IDAC?

Several systems and resources currently manage all authorisations in IDAC. This means that you as an employee apply for access to the resource from IDAC, and its owner must manage authorisations and incoming requests there:

  • Project folders (P:) (centralised storage)
  • RIMS
  • Pythagoras
  • FUBAS
  • HR archive

Why is IDAC needed?

IDAC has a central and essential function for all daily activities at KI and should contribute to the following:

  • A strengthened security programme within KI.
  • Compliance with the requirements for handling personal information under the General Data Protection Regulation (GDPR).
  • Centralised, efficient and secure identity and access management within KI.
  • To offer a solution adaptable to KI's organisation and collaboration across institutional boundaries.
  • To ensure, through a simplified metadata catalogue/catalogue service, up-to-date, accurate, quality-assured and accessible information about KI's organisation and its employees.
  • To reduce manual administration in the system.
