Additional support for Horizon Europe projects coordinated by KI

Karolinska Institutet is investing in a new funding package aimed at strengthening its participation in EU-funded research. The goal is to increase the share of research funding from the EU’s Horizon Europe programme, in line with KI’s Strategy 2030.

As part of this initiative, additional support is now available for collaborative research projects within Horizon Europe Pillar II, where KI serves as the coordinating institution.

A basic support package is already provided by the Grants Office to all proposals and projects coordinated by KI. However, this new additional support is available for a limited number of proposals through a competitive application process, which is now open. 

The final selection of proposals entitled to receive the additional support will be jointly done by the Grants Office and the Deans.

 

Steps to apply for additional support

1. Read the general information about Horizon Europe Pillar II collaborative research funding. Pillar II – General information | Staff Portal 

2. Gather information about upcoming calls and Work Programmes. You can also find information to related seminar announcements in the GO newsletter. 

3. Download and complete the application documents and send them directly to grantsoffice@ki.se. Always make sure to download the latest template version from the webpage:

  • Application form, including a one-page summary of your proposal and a checklist to indicate the requested support.
  • Coordinator support form signed by the KI researcher coordinating the project, the Head of Department and the Head of Administration of the host department. 

4. Submit your application to Grants Office approximately 6 months before the EU submission deadline. Check for upcoming deadlines below.

5. Applicants will be notified by email regarding the outcome of the internal selection for additional support approximately two weeks after the internal application deadline.

 

Upcoming deadlines for the Horizon Europe Pillar II and application for project coordinator support

  • Deadline for submission of the proposal in the EU Funding & Tender Portal Autumm, 2025.
  • Deadline for application for additional support XXXXXX May, 2025.

     

The basic support package is offered to all proposals and projects coordinated by KI and may include*:

Application phase support:

  • Call text analysis
  • Advice related to consortium building
  • Advice on proposal development and content (excluding writing)
  • Feedback on work packages
  • Advice on specific questions such as ethics, gender aspects, open access, IP, impact
  • Budget advice (in collaboration with the department)
  • Meetings on demand with PI and other involved researchers from KI
  • Grant and consortium agreement preparation advice and collection of legal signatures from KI

Post-contract management support:

  • Financial management
  • Start-up meeting
  • Coordination of legal management
  • Communication with partners regarding financial management
  • Communication with project officer

*Note: Contact the Grants Office in advance in order to receive the basic support to a maximum extend. 

The additional support includes more tailored assistance, which will be assessed on an individual basis through a competitive application process. It may include some of the items listed below, in addition to the basic support. 

Application phase support:

  • Booking and organizing meetings with consortium partners
  • Meetings on demand: topic specific meetings with Work Package leaders/consortium
  • Hands-on budget preparation (in collaboration with department and PI)
  • Collecting data for submission through the Funding & Tender Portal
  • Assisting partners with information relevant to the Funding & Tender Portal
  • Adding data for submission into the Funding & Tender Portal
  • Quality check for submission
  • Submission of proposal

Grant preparation support:

  • Coordination of grant preparation
  • Participation in the meetings with European Commission Program Officer (PO)
  • Coordination of consortium agreement preparation
  • Collection of legal signatures from KI 

Post-contract management support:

  • Organization of Kick-off meeting
  • Organization of consortium meetings and other online meetings with partners
  • Organization of the steering committee meetings
  • Organization of internal communication
  • Creating project handbook (EU requirement)
  • Organization and compilation of the input from WP leaders during the entire project
  • Organization and updating internal bulletins (usually once a month)
  • Establishing and distribution of templates creation and distribution
  • Coordination of deliverables
  • Management of legal documents
  • Overseeing and managing activities in the Funding & Tender Portal
  • Collection of information for progress reports
  • Development, implementation, and overall tracking of all management procedures
  • Risk Management
