Affiliates
A common feature of affiliated KI persons is that they participate in KI's activities by decision without being employed. Note in paticular the importance of documenting the basis for participation in KI's activities.
The basis for becoming affiliated can, for example, be one of the following:
- Employee of a county council with research funding at KI or who teaches at KI
- Associate Professors who participate in KI's activities but who are not employed by KI
- Visiting Researchers with external financing
- Professor Emeritus who is active in KI's activities
- Trainee/student
- Student representative or external member of a decision-making and advisory body
- Consultants or hired personnel
A person visiting KI for a number of days, who e.g., gives a lecture, participates in a conference or seminar and during this time requires access to the computer network is not affiliated; they are defined as a visitor. Workmen, service technicians, etc., who require access to key cards and certain other resources during a period of time are not considered affiliated either. These persons are treated in accordance with other procedures.
Doctoral students admitted to KI without employment at KI
The doctoral students we refer to below are doctoral students who are admitted to KI.
Internally, this group is also referred to as clinical doctoral students, industrial doctoral students, externally funded doctoral students, etc. What is common to this group is that all are admitted to KI and are in Ladok.
When the doctoral student is admitted to a research subject in Ladok. this doctoral student comes over to IDAC with an institution name, in IDAC a login ID (KI-ID) is created and an email address is generated and account information is sent out to the department's IDAC administrators.
Ladok does not have KI's organisational structure, which means that the doctoral student will be placed in the department's administration group and will then have the head of department as their immediate manager.
The doctoral student needs to be added to the affiliation system UBW Anknutna to get:
- Organisational affiliation to department / unit / or group level, which gives access to organisational folders (permissions to G:\)
- Closest manager / research group leader
- Project number that the IT invoice needs as a basis
Doctoral students are not considered affiliated but are admitted doctoral students and thus do not need to fill in an affiliation form. It is possible to attach an admission letter or equivalent that is approved by the administration at the department.
Important before creating a PhD student in the UBW affiliated system (UBW Anknutna)
In the IDAC and Ladok systems, you retrieve personal identifiers that you then use when you connect (personal identifier that can be = social security number, coordination number, Ladok ID). When there is only Ladok's temporary number (Ladok personal number / T-number), it is used as an identifier, this is entered in the Coordination number field in the extension system.
