Support from KI's Project Management Office

The Project Management Office supports KI in major development work, projects and change initiatives. Our role is to help create clarity, the right conditions and a sound basis for decision-making – not to add to the administrative burden. Here we briefly describe the support available to you when running projects at KI.

What is the Project Management Office?

The Project Management Office is a support and collaboration unit for projects and development initiatives at KI. We provide a holistic perspective, methodological support and experience from both strategic and practical projects. We do not replace line management or decision-making authority, but rather complement existing governance with project and methodological support.

Our mission is to:

  • strengthen the conditions for successful projects
  • contribute to well-considered choices and decisions
  • create structures that deliver benefits – not extra work
  • assess how initiatives relate to other ongoing initiatives

How can we help?

We are particularly involved in larger, KI-wide projects, such as those funded by development grants, those of strategic importance, or those that affect several areas of the organisation. However, where possible, we also support other projects within GVS and KI.

The Project Management Office can, for example, provide support with:

Choosing a working method
Help in determining whether an exploratory or a planned approach is most suitable – or how the two can be combined.

  • Preliminary studies and early decisions
Support in considering needs, objectives, alternatives and constraints before proceeding.
  • Project design and documentation
Advice on which documents provide the most support in your specific context.
  • Decision-making and governance
A sounding board ahead of decisions, steering group work and follow-up.
  • Impacts and follow-up
Help in thinking clearly about benefits, impact assessment and follow-up over time.
  • Finance and budget
Financial frameworks, mandates and funding vary depending on the context. The Development Office can help clarify what applies in your specific case.
  • Competence and learning
Support in developing project and change management skills, for example through shared working methods, templates and the exchange of experiences.

When is the best time to get in touch?

You’re welcome to contact us early on – and often. It’s usually easier to adjust the direction at the start than later on. It can be particularly useful to get in touch when:

  • you have an idea and want to test whether it’s suitable as a project
  • you are unsure which approach is best
  • you need to produce a feasibility study or a basis for decision-making
  • a project is growing in scope or complexity
  • you want to ensure that monitoring and outcomes are right from the start

You don’t need to have everything sorted out – sometimes it’s enough just to know that “we need to talk this through”.

Support linked to development projects

The Project Management Office has a specific remit relating to development projects and development funding.

In this context:

  • we provide support in the run-up to applications, for example regarding project design and supporting documentation
  • we help ensure the right approach is taken to monitoring and impact assessment
  • we act as a sounding board throughout the project – not just at the start
  • we contribute to a comprehensive overview of ongoing development initiatives at KI
  • we prepare documentation for prioritisation and decisions regarding development funding

Our role is to ensure that development funding is used in a well-considered manner and leads to tangible benefits for KI.
